PTN's failure to enforce any provision of this Agreement shall not constitute a waiver of that provision or any other provision of this Agreement.
Pickles Vacations, LLC d/b/a PTN Travel (“PTN”) is coordinating hotel accommodations and Conference arrangements for PTN advisors attending the PTN Conference (“Conference”). By requesting a reservation, submitting payment, or attending the Conference, you agree to the terms below.
In the event of a conflict between this Agreement and the Independent Contractor Agreement, the terms of this Agreement shall govern solely with respect to Conference participation and hotel accommodations.
We’re excited to bring everyone together for our annual PTN Conference. Before securing your hotel, here are a few important things to keep in mind:
-
Hotel rooms within the PTN block are your financial responsibility once reserved
-
Cancellation deadlines are firm, and missed deadlines may result in full charges
-
PTN has committed to a contracted room block, so unused rooms cannot be absorbed by PTN
-
Hotel reservations may become non-refundable after the deadline
-
PTN is coordinating the experience, but does not operate the hotel or third-party services
-
Conference details may evolve as we finalize programming
-
You are responsible for your own travel arrangements and all hotel incidentals
-
Travel insurance is strongly recommended. If you choose not to purchase coverage, you accept full financial responsibility for any cancellations, delays, or losses
-
We ask that all advisors represent PTN with professionalism throughout the event
By moving forward, you agree to the full terms outlined below.
1. Scope
This Agreement applies to PTN advisors attending the Conference and booking hotel accommodations through PTN. It governs all hotel reservations, payment obligations, cancellation terms, and participation in Conference-related activities.
2. PTN’s Role
PTN is acting solely as an intermediary in securing hotel accommodations and coordinating Conference logistics. PTN does not own, operate, or control the hotel or any third-party services associated with the Conference.
All accommodations and services are provided by third-party suppliers (“Suppliers”) and are subject to their terms and conditions. PTN shall not be liable for any act, error, omission, delay, cancellation, overbooking, or failure of any Supplier.
Nothing in this Agreement shall be construed as creating a partnership, joint venture, fiduciary relationship, or agency relationship between PTN and any attendee with respect to the Conference.
3. Hotel Block & Financial Responsibility
If PTN reserves a hotel room on your behalf within the Conference room block, you are fully and financially responsible for that reservation.
This includes, without limitation:

Failure to check in will be treated as a no-show and charged in full.
-
You remain financially responsible for the reservation regardless of the reason for cancellation, inability to attend, travel disruption, illness, or change in plans.
PTN reserves the right to charge any payment method on file authorized by Advisor, invoice Advisor directly, offset amounts owed against commissions or other payments due to Advisor, and pursue any other remedies available under the Independent Contractor Agreement or applicable law to recover any unpaid amounts owed in connection with the reservation.
Advisor agrees to reimburse PTN for any costs incurred in collecting unpaid amounts, including reasonable collection costs, attorneys' fees, court costs, and related expenses.
4. Payment Terms
Payment deadlines will be provided at the time of booking.

Failure to pay by the deadline may result in the cancellation of your room

17. Media Release
By attending the Conference, you grant PTN permission to photograph, record, film, and otherwise capture your likeness, image, voice, statements, and participation during the Conference. You grant PTN the unrestricted right to use, reproduce, distribute, publish, display, and create derivative works from such materials for marketing, promotional, educational, training, and business purposes without compensation.
